I have a general rule when I'm working with organizations: less computer time and more social time. Orgs, after all, are made of people, and the more people-interaction you have, the better you can help out.
In practice this means I carry around an old-fashioned pen-and-paper portfolio. I sketch and take notes throughout the day, then over lunch or supper I transcribe my notes to my computerized system and schedule all of my follow-ups.
This has a problem, however, how to schedule things throughout the day? After all, people are used to setting up appointments on a moment's notice using some kind of calendaring system.
I have two answers to that problem. First, each morning I print out the upcoming week's calendar. I don't ad-hoc schedule anything beyond that. Second, as much as I can get away with it, everything I do, along with my teams, goes on the wall.
This is where the large dry-erase calendar is such a treat. I have one at home and have used several onsite with clients. One of the biggest problems tech teams have is meetings being scheduled all over the place, destroying productivity. A great fix for that is to block up team time into half-days, either dedicated to coding or open to meetings. If Monday mornings are coding times, there are no meetings on Monday mornings! For anybody!
There are other tricks here as well, such as the use of a "coding lamp" (don't talk to any of us if you see the coding lamp on) But the dry-erase calendar is a big win even if you end up fighting for these other things.
I love the one I have at home, and recommend them to folks who want better control over their lives and productivity.
